2.1Identity and contact: name, email, telephone, address.
2.2Technical: IP address, browser type, pages visited (via cookies and analytics).
2.3Service data: information shared through quotes, forms or emails to arrange work.
2.4Visit and location data: the date, time and address of a booked visit; the approximate location of the company vehicle allocated to that visit while it is in progress; and a record of service messages sent to you.
2.5Photographs and video: images of the work area at your property taken before and after we attend, as a record of the work carried out.
3. How we collect your data
3.1Directly from you, through forms, email or phone.

3.3From trusted third parties, for example Google Analytics, for performance tracking.
3.4From tracking units fitted to our vehicles, and from the mobile device of the attending operative where a vehicle tracker is not in use.
4. How we use your data
4.1We use your data to respond to enquiries, provide quotes or services, improve website performance, maintain records, and comply with legal obligations.
4.2Our lawful bases include legitimate interests, consent, and contractual necessity.
4.3To keep you informed about a booked visit, including sending a service message before we attend and providing a temporary page showing the progress of our working day.
4.4To invite feedback after completed work. Our lawful basis for this is legitimate interests, and you may opt out at any time.
4.5To keep a record of work carried out, to resolve any query about it, and, where suitable, to show examples of our work in marketing. Our lawful basis is legitimate interests, and you may object at any time.
5. Data sharing
5.1We share data only where necessary:
(a)with employees and trusted contractors to deliver services;
(b)with professional advisers, for example insurers or accountants;
(c)with legal authorities if required by law;
(d)with service providers who process data on our behalf, being our scheduling provider, our website host, our vehicle tracking provider, and Google, which supplies estimated journey times. These act as processors under contract and may not use your data for their own purposes.
We do not sell your information or use it for unsolicited marketing.
6. Data security
6.1We implement technical and organisational measures to protect your personal data, including secure servers, encryption where appropriate, and restricted access.
6.2If we suspect any data breach, we will notify you and the ICO as required by law.
7. Data retention
7.1We retain data only as long as necessary for business, legal or tax purposes.
7.2If you request deletion, we will erase your data unless we are legally obliged to keep it.
7.3Tracking links expire at the end of the day of your visit. We keep a record of service messages sent for 7 days, and a record of review invitations for up to 90 days.
7.4Photographs and video are held in our job system for 14 days. Where an image is selected for marketing, it is kept separately for as long as it remains in use.
8. Your rights
8.1You have rights to access, correct, delete, restrict, port, and object to processing of your personal data.

11.1Where data is processed or stored outside the UK or EEA by our processors, for example analytics or email providers, we ensure appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.
11.2Journey time estimates are provided by Google, and our scheduling provider is based in Canada. Transfers are covered by UK adequacy regulations or the International Data Transfer Addendum as applicable.
12. Visit tracking and service messages
12.1Before a booked visit we may send a text message to the mobile number you have given us. It tells you how many visits are ahead of yours that day and includes a link to a tracking page.
12.2The tracking page shows the approximate location of the company vehicle allocated to your visit on a map, and an estimated arrival time once yours is the next visit of the day. It does not display your name, address, telephone number or any details of the work.
12.3Each link is unique to your visit and stops working at the end of that day. The map is no longer shown once we have arrived.
12.4The location displayed is that of a company vehicle during working hours. It is shown to you only while your visit is outstanding. Vehicle location records are held by our tracking provider for three years and are used for fleet management and safety purposes. They are not linked to your record once your visit is complete.
12.5These are service messages relating to work you have booked, not marketing. If you would prefer not to receive them, tell us and we will note your record accordingly.
12.6After completed work we may send one message inviting you to leave a review, and at most one reminder. You can opt out at any time by replying to us or emailing office@treemedicltd.co.uk.
12.7If you contact us by replying to one of these messages, we hold that correspondence in line with section 7.
12.8Our team photograph the work area before and after attending. These images record what was done and help settle any later question about the work. They are stored securely and are not shared with anyone outside Treemedic Ltd.
12.9We may use an image of completed work in our marketing, for example on our website or social media. We do not include your name, address or any detail identifying you or your property, and we will not use an image showing the inside of your home. If you would rather we did not photograph your property at all, or did not use an image, tell us and we will honour it.

13.1This policy is reviewed annually and updated as required by law or business changes. The latest version will always be available on our website.
