Treemedic Ltd — Terms & Conditions

These terms explain how we work, what you can expect from Treemedic Ltd, and the responsibilities of both parties when you engage us for professional tree surgery and arboricultural services across Surrey & South West London.
By accepting a quotation or requesting work from Treemedic Ltd, you agree to these Terms & Conditions.
1. Standard of Work
All works are undertaken by qualified personnel in accordance with BS3998: Recommendations for Tree Work, unless otherwise stated in your quotation. Safety, professionalism and adherence to best practice guide every project.
2. Acceptance of Contract & Scheduling
- Accepting a quotation (in writing or verbally) forms a binding contract.
- You have a 14-day cooling-off period from acceptance. If you request work to start within this period, you waive the right to cancel without charge.
- Once accepted, we will schedule your job and, where required, liaise with local authorities for permissions (e.g., TPO/Conservation Area checks).
3. Amendments & Cancellations
- All amendments or cancellations must be made in writing.
- If preparatory work has begun, cancellations may incur a charge of up to 50% of the quotation.
- If site conditions or client requests change the scope, we will issue a revised quotation (digitally or handwritten on site) for approval.
- If hidden issues (e.g., decay, obstructions, protected wildlife) are discovered, we may suspend work and re-quote or reschedule.
4. Complaints
If you are dissatisfied with any part of our service, please notify our office within 7 days of completion. We will investigate promptly and work to resolve matters fairly.
5. Payment Terms
- On completion, you may be asked to sign the job sheet to confirm satisfactory delivery.
- Invoices are typically issued within 7 days of completion and are due upon receipt (maximum 30 days unless agreed otherwise).
- VAT is chargeable where applicable and will be shown on your invoice.
6. Late Payment — Domestic Clients
- Domestic invoices are due on completion. Invoices unpaid after 30 days may incur:
- Interest at 3% above the Bank of England base rate (calculated daily), and
- A £25 administration charge.
- If you anticipate a delay, please contact us as early as possible so we can assist before charges apply.
7. Late Payment — Commercial Clients
Unless otherwise agreed in writing, payment is due within 30 days of invoice. Under the Late Payment of Commercial Debts (Interest) Act 1998, Treemedic Ltd may charge:
- Statutory interest at 8% above the Bank of England base rate, and
- Fixed debt-recovery costs (currently £40–£100 depending on invoice value).
We may suspend further works until outstanding balances are settled.
8. Waste Disposal
- Unless stated otherwise in your quotation, waste removal is included. We chip/clear arisings and tidy the site.
- If you wish to retain timber or woodchip on site, please specify this at quotation stage. Timber is not left “cut and ready to burn” unless expressly agreed.
9. Stump Grinding
- Stump grinding usually follows felling within a few days (unless otherwise scheduled).
- Chippings are used to backfill the stump hole. Removal of grindings/topsoil backfill is not included by default; where available, this can be priced as an additional service.
- Grinding targets the main stump and significant near-surface roots; deeper/lateral roots typically remain and will decay naturally.
- Underground services: Clients must inform us of any known pipes, cables or irrigation prior to work. Treemedic Ltd is not liable for damage to unreported or unknown services.
- Work will be paused if hazardous materials (e.g., suspected asbestos) are discovered. Safe removal must be arranged by the client before we resume.
10. Neighbour Access
Where access is required via neighbouring land, the client is responsible for obtaining permission in advance. Written confirmation may be requested.
11. Site Protection
Please protect lawns, walls and delicate surfaces prior to work. We can supply protective boards or coverings (additional charge) and will assist vulnerable clients where feasible.
12. Site Access & Responsibility
Clients must provide clear access and remove obstructions prior to the team’s arrival. Delays caused by blocked access may incur standard day-rate charges.
13. Crown Reduction
Reductions are carried out to the sizes specified in your quotation (e.g., final height/spread or average branch length). We maintain a balanced structure and adhere to BS3998 guidance.
14. Crown Thinning
Thinning typically removes up to 30% of leaf mass, distributed evenly throughout the canopy to improve light and structure while removing weak or hazardous growth.
15. Arrival Times
Teams usually arrive between 08:00–09:00. For short jobs, we will confirm a more precise window the afternoon before. We will accommodate AM/PM preferences where possible.
16. Permissions & Legal Checks
- We can check for Tree Preservation Orders (TPOs) and Conservation Area status and submit applications on your behalf.
- If an application has been prepared and you later cancel, an administrative fee of £250 may apply.
- Private covenants or third-party permissions remain the client’s responsibility.
17. Force Majeure
Treemedic Ltd is not liable for delays or failure to perform due to events beyond our reasonable control (e.g., severe weather, illness, accidents, utility issues or other force majeure events).
18. General
- Quoted completion dates are weather-dependent and may change for safety reasons.
- Quotations are valid for 60 days unless stated otherwise.
- We reserve the right to cancel or reschedule works where necessary; Treemedic Ltd is not liable for consequential losses.
